Location Reports - Manage Business Day centrally across all Cash Registers at a POS Location

You have several cash registers and staff members working at your POS location during the day and would like to close the business day centrally?

The Location Reports feature gives you an overview of the status of all your active cash registers at any time during a business day and allows you to close them centrally.

Activate Location Reports

In order to use the Location Reports feature for your POS location, you must first activate it. To do this, follow the steps below.

Requirements

  • All your staff members have finished and accounted for their shifts
  • Business days are closed on all your cash register devices
  1. From the POS menu, open Sales > Accounting.
    In the Location section you will find the menu items Current Location Report and Location Report History.
  2. Tap Settings.svg to go to the cash management settings of the POS location.

  3. Enable the Use Location Report option.
  4. Confirm your changes with SingleSelectionCheck.svg.

    If you have not completed all staff member shifts or business days on the cash registers, a message will be displayed to you. In that case start again with step 1.

Overview of the Location Report Views

The Location Reports feature is used to manage the business day of the entire POS location.

Therefore, if a staff member is the first to log on to a cash register device that day and access the cash register, they must first start the business day on that device.

If you work with cash management on staff member accounts, each staff member must also start their shift.

While the Business Day is running, you have an overview of the current business transactions of the entire POS location at any time. The contents of each tab are described in the following:

  • Sales

    The Sales tab provides information on sales and other receipts, totaled from all active cash registers at the location.

  • Payment Methods

    The Payment Methods tab shows you the income and expenses of all active cash registers grouped by the different payment methods. Sales are broken down according to the tax rates applied in each case.

  • Cash

    The Cash tab shows you the current cash balance totaled from all active cash registers.

  • Categories

    The Categories tab provides information on the current total sales per sales category.

  • Sales Items

    The Sales Items tab shows the current sales per sales item summed up from all active cash registers.

  • Transactions

    In the Transactions tab you will find the overview of all issued invoices and cash transactions of the current business day of the POS location.

  • Single Reports

    In the Single Reports tab, you always have an overview of all cash register reports (Z-reports) for the current business day of the POS location. If you have assigned cash containers to your staff members, the staff member reports are also displayed. In addition to the status, the current revenue and cash balance are displayed.

Work with the Location Report

After a staff member has finished their shift and counted their cash, this is displayed in the Single Reports tab in the status of the staff report.

In our example, Brittany and Linda Williams worked different shifts, but used the same register "Cash Register". Thus, the overview of the individual reports shows the individual staff reports of Brittany and Linda Williams and their combined revenue in the register "Cash Register".Bildschirmfoto

Do you want to view a staff report? To do this, tap the corresponding entry in the Single Reports tab in the Staff Members section.

Do you want to view a Z report? Tap on the corresponding entry in the Single Reports tab in the Cash Registers section.

The Z report looks like this:

The Location Business Day can only be closed when all staff member reports are completed. If you attempt to close the Location Business Day while a staff member report is still open, you will see a message with the report that is still open.

Your staff members will still be able to complete the Business Day on a cash register device one at a time.

After all staff members have finished their shift, tap on [Close Location Business Day].

⮕ The business days of the individual cash register devices have been closed centrally and the report of the location business day is displayed to you.

Via the icon [FeatureTypeOther__2_.svg] in the upper right corner you can choose whether you want to print the report or send it by email.

In the final step you can decide whether you also want to print or send the reports for Categories, Sales Items and Transactions.

Set User Rights

You can hide the Current Location Report and Location Report History menu items for specific staff members in the POS menu under Business Account > User Access Rights > Sales tab > Functions Accounting section > Location: Current Location Report or Location: Location Report History. This allows you to determine which staff members are allowed to view the business figures of your POS location.

Review Cash Deficiencies prior to Closing the Location Report

You as the owner or the responsible staff member at the POS location should be asked to check the staff reports when there are cash overhangs or shortages? To do this, proceed as follows:

  1. Open Business Account > User Access Rights > Sales tab in the POS menu.
  2. In the Functions Accounting area, tap on the Close Location Business Day entry.

  3. Determine whether only you as the owner or additionally selected staff members are allowed to perform this action.
  4. Complete your settings with [Confirm].

  5. Tap on the corresponding staff report in the Single Reports tab.Bildschirmfoto
    Both you as the owner and the authorized staff members can now view the details of the staff reports, check the cash balance and finalize the staff reports.
  6. Tap on [End Shift].Bildschirmfoto⮕ The counting protocol appears to count the cash balance again.

Always Check Cash Balances

You as the owner or the responsible staff member at the POS location would like to always check the cash balances of each staff member/cash register, even if the staff members have counted their cash balance correctly? To do this, proceed as follows:

  1. Open Business Account > User Access Rights > Sales tab in the POS menu.
  2. Tap on the End Shift field in the Functions Accounting area.

  3. Determine whether only you as the owner or additionally selected staff members are allowed to perform this action.
  4. Complete your settings with [Confirm].

  6. Tap on [End Shift].
